This policy explains what information Social Butterfly collects, why we collect it, where we keep it, and who else gets to see it. We have tried to write it in plain English.
The short version. We collect the account and billing details you give us, the content you create in Social Butterfly, and the social media data we need in order to post on your behalf and show you how those posts performed. We use that information to run the service you are paying for. We store it in Microsoft Azure. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
1. Who we are
Social Butterfly is a social media management service operated by Synergy Relations LLC ("Social Butterfly," "we," "us," or "our"). Synergy Relations LLC is the business responsible for the personal information described in this policy.
Synergy Relations LLC
Attn: Privacy — Social Butterfly
300 Lenora Ave, Ste. 391, Seattle, WA 98121
Email: info@synergyrelationsllc.com
2. Who and what this policy covers
This policy covers:
- Visitors to our public website at socialbutterfly.synergyrelationsllc.com.
- Customers who create a Social Butterfly account and the individual users they invite onto that account.
- Information we receive from social media platforms when you connect an account.
This policy does not cover the social media platforms themselves. Once a post is published to Facebook, Instagram, X, LinkedIn, TikTok, YouTube, Pinterest, Threads or any other platform, that platform's own privacy policy governs what happens to it. It also does not cover the audience members who see or interact with your posts — their relationship is with the platform and with you.
3. The information we collect
Information you give us
| Category | Examples |
|---|---|
| Account information | Name, email address, password (stored only as an encrypted hash), business or brand name, time zone, profile photo, job role. |
| Team information | Names and email addresses of people you invite to your workspace, and the permission level you assign them. |
| Billing information | Billing name, billing address, plan, subscription history and invoices. We never see or store your full card number — card details go directly to our payment processor. |
| Content you create | Draft and published posts, captions, hashtags, images, video, comments, scheduling calendars, notes, approval history and any prompts you type into Butterfly AI. |
| Support communications | Emails, chat messages, bug reports, screenshots and survey responses you send us. |
Information we receive from social media platforms
When you connect a social account, that platform asks you to approve a specific list of permissions, and then gives us an access token. Using that token we may receive:
- Profile and page information — the account or page name, handle, ID, profile and cover images, follower and subscriber counts, category, and which pages or channels you administer.
- Publishing access — the ability to create, schedule, edit and delete posts on the accounts you connect.
- Content and engagement data — your existing and published posts, plus likes, reactions, comments, shares, saves, clicks, views and watch time on them.
- Aggregate analytics — audience insights the platform makes available, such as follower growth over time and grouped, non-identifying demographic breakdowns like country, city, age range and gender.
- Messages and comments — only where you have turned on an inbox or comment-management feature. This can include the names, handles, profile pictures and message contents of people who contact your accounts.
- Access tokens — the credential that lets us act on your behalf. Tokens are encrypted at rest and are never shown to you or to anyone else.
We only request the permissions a feature actually needs, and you can disconnect any platform at any time. See our Data Deletion Instructions.
Information collected automatically
- Device and connection data — IP address, browser type and version, operating system, device type, screen size, and language.
- Usage data — pages and screens viewed, features used, buttons clicked, session length, referring page, and timestamps.
- Log and security data — sign-in attempts, password resets, API errors, and records of actions taken in your workspace.
- Cookies and similar technologies — described in our Cookie Notice.
Information we do not want
Social Butterfly is a marketing tool and is not built to hold sensitive personal information. Please do not upload government identification numbers, financial account numbers, health or medical records, precise geolocation, biometric identifiers, union membership, or information about anyone's race, religion, sexual orientation, immigration status or criminal history. If you send us this kind of information anyway, we will delete it when we notice it.
4. Why we use your information
California law asks us to state the business purpose behind each use. Ours are:
| Purpose | What that means |
|---|---|
| Providing the service | Creating your account, connecting your social profiles, saving drafts, publishing and scheduling posts, and showing you your analytics. |
| Generating AI content | Sending your prompt and the relevant context to our AI provider so Butterfly AI can draft captions, ideas and variations for you. See our AI Disclosure. |
| Billing | Charging your subscription, issuing invoices and receipts, handling failed payments, refunds and chargebacks, and meeting tax and accounting obligations. |
| Support | Answering your questions, reproducing and fixing bugs, and restoring lost work. |
| Service communications | Sending you transactional messages such as password resets, publishing failures, expiring platform tokens, plan changes, security alerts and material updates to these policies. You cannot opt out of these while you have an account. |
| Marketing communications | Sending product news, tips and offers, where permitted. Every marketing email has an unsubscribe link and opting out never affects your service. |
| Improving the product | Understanding which features are used and where people get stuck, measuring performance, and testing changes. Wherever it works just as well, we use aggregated or de-identified data for this. |
| Security and abuse prevention | Detecting fraudulent sign-ups, credential stuffing, spam, scraping, and violations of our Terms of Service. |
| Legal compliance | Complying with the law, responding to lawful requests, and establishing, exercising or defending legal claims. |
We only collect what is reasonably necessary and proportionate for these purposes, and we will not use your information for a materially different purpose without telling you first.
5. How Butterfly AI uses your information
When you ask Butterfly AI to draft or rewrite something, we send your prompt and the context needed to answer it — which may include your brand details, the draft you are working on and, where relevant, recent post performance — to Microsoft Azure OpenAI Service for processing.
Under Microsoft's terms for that service, your prompts and the responses are not used to train the underlying models and are not shared with other customers. We do not use the content of your prompts to train any model of our own.
Please do not paste confidential information or anyone else's personal information into an AI prompt. Our full AI Disclosure explains what Butterfly AI can and cannot be relied on for.
6. Who we share information with
We share personal information only in the situations below, and only with providers who are contractually required to protect it and to use it solely to deliver services to us.
| Recipient | What they receive and why |
|---|---|
| Microsoft Azure Hosting and databases | All Social Butterfly application data, including your account details, content, connected-account data and encrypted tokens. Hosted in West US 3. |
| Microsoft Azure OpenAI Service AI content generation | The prompts you submit and the context needed to fulfil them. |
| Payment processor (not currently integrated) Subscription billing | Your name, email, billing address and card details, which you enter directly with them. They act as an independent controller of that payment data. |
| Email provider (not currently integrated) Transactional and marketing email | Your name and email address, and whether you opened or clicked a message. |
| Product analytics provider (not currently integrated) Product analytics | Usage events, device and browser data, and a pseudonymous user identifier. |
| Support and error-monitoring provider (not currently integrated) Helpdesk and error monitoring | Your name, email, support messages and technical error reports. |
| Social media platforms | The posts, images, video and comments you choose to publish, plus the API calls needed to publish and measure them. Each platform's own privacy policy then applies. |
We also disclose information:
- Within your workspace. Other members of your account can see the content, connected accounts and activity in that workspace, according to the permissions you assign.
- To advisors. Our lawyers, accountants and auditors, when needed and under a duty of confidentiality.
- For legal reasons. When we reasonably believe disclosure is required by law or legal process, or is necessary to protect the rights, property or safety of Social Butterfly, our customers or the public.
- In a business transfer. If Synergy Relations LLC is involved in a merger, acquisition, financing or sale of assets, your information may transfer as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.
7. We do not sell or share your personal information
In the past twelve months, and going forward, Synergy Relations LLC has not sold personal information and has not shared it for cross-context behavioral advertising, as those terms are defined by the California Consumer Privacy Act. We do not sell or share the personal information of anyone under 16, and we have no actual knowledge of collecting it. We do not use or disclose sensitive personal information for purposes beyond those permitted without an opt-out under California law.
Our service providers may only use the information we give them to perform services for us, and are prohibited from selling it or using it for their own purposes.
8. Where your information is stored
Social Butterfly runs on Microsoft Azure. Your account data, content and encrypted platform tokens are stored in Azure data centers located in the United States (West US 3). Backups are stored in the same region. Some of our providers, and some of our own staff and contractors, may access data from other locations in order to support the service.
Social Butterfly is offered from the United States and is intended for customers in the United States. If you use it from elsewhere, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.
9. How long we keep it
| Information | Retention |
|---|---|
| Account and workspace data | For as long as your account is active. After you close your account, deleted within 30 days, except as noted below. |
| Content, drafts and scheduled posts | Until you delete them, or within 30 days of account closure. |
| Connected-account tokens | Revoked and deleted immediately when you disconnect a platform or close your account. |
| Imported analytics and post performance | Up to 25 months, or until you disconnect the account, whichever comes first. |
| Backups | Overwritten on a rolling cycle of up to 35 days after deletion from live systems. |
| Billing and tax records | 7 years, as required by U.S. tax and accounting rules. |
| Support tickets | 3 years after the ticket is closed. |
| Security and access logs | 12 months. |
| Suppression records (unsubscribes, deletion requests) | Kept indefinitely so we can honor your choice. |
We may keep information longer where we are legally required to, or where it is needed to establish, exercise or defend a legal claim.
10. How we protect it
We maintain a written security program with administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold. These include encryption in transit (TLS) and at rest, encrypted storage of platform access tokens, role-based access controls, multi-factor authentication on administrative accounts, logging and monitoring, least-privilege access for staff, vendor security review, and a documented incident response process.
No system is perfectly secure. You are responsible for keeping your password confidential, using a strong and unique password, turning on multi-factor authentication where offered, and removing team members who no longer need access. Tell us at info@synergyrelationsllc.com immediately if you believe your account has been compromised.
11. Your privacy rights
If you are a California resident
Under the California Consumer Privacy Act, as amended, you have the right to:
- Know what personal information we have collected about you, where it came from, why we collected it, how long we keep it, and who we disclosed it to.
- Access a copy of that information in a portable format.
- Delete the personal information we hold about you, subject to legal exceptions.
- Correct inaccurate personal information.
- Opt out of the sale or sharing of personal information — though as explained in section 7, we do neither.
- Limit the use of sensitive personal information — we do not use it beyond permitted purposes.
- Not be discriminated against for exercising any of these rights. We will not deny you service, charge you a different price, or give you a lower quality of service because you made a request.
If you live in another U.S. state with a privacy law
Several other states give residents comparable rights to access, correct, delete and obtain a portable copy of their personal information, to opt out of targeted advertising and profiling, and to appeal a refused request. We extend the same core rights and the same process to every U.S. customer, regardless of where you live. If we deny your request, you may appeal by replying to our decision; we will respond to an appeal within 45 days.
How to make a request
You can submit a request in either of these two ways:
- Email info@synergyrelationsllc.com with the subject line "Privacy Request."
- Use the in-app privacy tools under Settings → Privacy & Data, where you can export or delete your data yourself.
We will confirm we received your request within 10 business days and respond within 45 calendar days. If we need more time, we will tell you why and may take up to another 45 days. There is no charge unless a request is manifestly unfounded or excessive.
To protect you, we need to verify your identity before acting. Usually that means confirming control of the email address on the account, and for deletion requests, a second confirmation. An authorized agent may act for you with written permission that we can verify with you directly.
If you want to remove your data yourself, our step-by-step Data Deletion Instructions walk through disconnecting platforms and closing your account.
A note for team members and business contacts
If you use Social Butterfly because someone invited you to their workspace, that customer controls the workspace. We will pass privacy requests about workspace content to them and support them in responding. You can always ask us directly about the personal information tied to your own login.
12. Your choices
- Disconnect a platform at any time in Settings → Connected Accounts. We revoke and delete the token immediately.
- Update your details in your profile settings.
- Unsubscribe from marketing email using the link at the bottom of any marketing message.
- Control cookies through our cookie banner or your browser — see the Cookie Notice.
- Close your account at any time, which starts the deletion process described above.
13. Children
Social Butterfly is a business tool and is not directed to children. You must be at least 18 years old to open an account. We do not knowingly collect personal information from anyone under 16. If we learn that we have, we will delete it promptly. If you believe a child has given us information, contact info@synergyrelationsllc.com.
14. Third-party links and platforms
Social Butterfly links to and integrates with services we do not control, including every social media platform you connect. We are not responsible for their privacy practices. Before connecting an account, review that platform's privacy policy and the permissions it asks you to approve. You can revoke our access from inside the platform's own settings at any time — we list where to find those settings in our Data Deletion Instructions.
15. Changes to this policy
We may update this policy as the service changes or as the law does. We will always post the new version here with a fresh "Last updated" date. If a change materially affects how we handle your personal information, we will give you notice by email or in the application before it takes effect. Continuing to use Social Butterfly after that means you accept the updated policy.
